How to delete your account
You can delete your account yourself in the TradersFlow app or website. No email to support is needed:
- Sign in and download a copy of your data: Settings → Account & Data → Export my data. You may be legally required to keep your business and tax records.
- Cancel any subscription yourself. Deleting your account does not cancel a Google Play or card subscription (see section 06).
- Go to Settings → Delete my account (or Delete business data to keep your login). Customer accounts: My Hire → Account → Delete my account.
- Sign in again if asked, type the confirmation word and confirm. You are signed out on every device once deletion has finished.
- Can't sign in any more? Email support@tradersflow.co.uk from the address you sign in with, subject "Account deletion request".
If you can't sign in
If you can no longer sign in (for example you lost access to your email or Google account), email support@tradersflow.co.uk with the subject "Account deletion request", from the address you signed up with if you still can. Tell us the account email and whether you want the whole account or only the business data deleted.
We acknowledge requests normally within 2 working days and may ask a few questions to check you own the account, so that nobody else can delete your business records. We complete verified requests within one month; if a request is complex the law allows up to two further months, and we will tell you within the first month if we need it.
What gets deleted
When your account is deleted, the following are deleted where applicable:
- Your login and authentication record, including a linked Google sign-in.
- Your profile and Company Profile (business name, address, contact details, logo, bank details).
- Your customer records, including the names, addresses, phone numbers and emails you stored about your own customers.
- Jobs, schedules, quotes, invoices and their line items.
- Finance records, expenses, tax data and receipts.
- Photos, documents and other uploads, including digital business card background photos.
- Portfolio pages, portfolio leads and customer reviews you collected.
- Stock and materials records, stock locations and stock movements.
- AI request logs and cached AI insight explanations generated for your account.
- Templates, material lists, notifications and in-app preferences.
- Suppliers, purchases, purchase orders, stock takes, agreements, timesheets and staff records.
- Your Hire listing, customer enquiry links and every shared invoice, quote, agreement and customer-portal link.
- Support messages you sent us: the text and your contact details are removed; only the date and status remain.
Public pages you created (such as your portfolio page or review links) stop working once deletion is completed. A business-data-only request removes these business records but keeps your login.
What we keep, and why
A small, minimal set of records is retained where the law requires it or where we have a legitimate interest that is not overridden by your rights:
- Subscription and purchase records (plan, status, dates and the Google Play / RevenueCat purchase reference — no name, email or business data) — our own accounting records, proposed to be kept for 6 years after the end of the financial year of the last payment. Accounting and tax record obligations apply, but the precise period applicable to TradersFlow still requires accountant review; it has not been legally certified. These records also support refunds and purchase restoration.
- Purchase event logs from Google Play and RevenueCat — technical messages used to reconcile payments and investigate problems. Names, emails and other contact details RevenueCat copies in are removed when you delete your account; the logs are deleted automatically after 24 months.
- Proof of the terms you accepted (document versions and date, device details removed) — 6 years after your account closes, so we can respond to legal claims within the UK limitation period.
- A record that your deletion was carried out (dates and steps only) — 6 years, to show we met your request.
- Security and support-access logs (what was done and when; email, IP address and device details removed) — 24 months.
- Support ticket records (date and status only) — 24 months after the ticket closed.
- Email delivery log (that a message was sent and whether it arrived; recipient and subject removed) — deleted automatically after 12 months.
- Unsubscribe list — if you unsubscribed or an email bounced, your address and the reason stay on our do-not-email list for as long as we send email, because that is the only way to keep honouring the opt-out.
- A minimal anti-abuse trial record — see below.
Records with a 12- or 24-month limit for logs are deleted automatically by an existing daily clean-up. The other periods above are proposed policy periods under professional review, not legally approved periods. Subscriptions, terms, deletion, security and support records require a quarterly manual retention review; automatic expiry for those records is not implemented. The daily log clean-up is separate from account-deletion retries, which are not scheduled yet.
If you think anything has been missed after deletion completes, email privacy@tradersflow.co.uk.
Anti-abuse trial record
Where Google Play presents an eligible trial offer (currently 7 days for configured eligible offers), it is intended for first-time evaluation. To stop repeated account creation being used to obtain repeated trials, we keep a minimal record that a trial was already used for a given sign-up email address, together with the date it was first used. We do not keep the email address itself in this record: it is stored only as a one-way fingerprint, which we can compare against a future sign-up but cannot turn back into the address.
This record contains no business data, no customer data and no content — only what is strictly necessary to enforce the one-trial-per-person rule. Our lawful basis is legitimate interests (preventing abuse of a free offering). It is retained for as long as we operate the free-trial offer.
If you object to this processing, email privacy@tradersflow.co.uk and we will review your objection on its merits.
Cancel your subscription first
Deleting your TradersFlow account does not cancel a Google Play subscription. Only Google Play can cancel it.
Before requesting deletion, go to Play Store → Subscriptions → TradersFlow → Cancel subscription. If your account is deleted and you have not cancelled, Google Play may continue charging your Google account.
How long it takes
If removing files or the sign-in takes longer, you see "in progress" and the account stays locked. Automatic retries are not scheduled yet, so support may need to complete cleanup manually. We only show "deleted" once every step has finished. Email requests are completed within one month (see section 02). Copies in managed database backups age out under the provider's rolling backup schedule; uploaded files are not part of those backups.
