Terms of Service

These terms govern your use of TradersFlow. We've written them to be clear and fair — no surprises, no small print games.

Acceptance of terms

By creating an account or using TradersFlow ("the Service"), you agree to these Terms of Service ("Terms"). If you don't agree, please don't use the Service.

If you're using TradersFlow on behalf of a business, you confirm you're authorised to bind that business to these Terms.

Eligibility

You must be at least 18 years old and legally able to enter a binding contract in your jurisdiction. TradersFlow is built for tradespeople running a legitimate trade business.

Your responsibilities

You're responsible for the information you put into TradersFlow — customer details, quotes, invoices, photos and notes. You agree that this information is accurate and that you have the right to store and process it.

You're also responsible for complying with the laws that apply to your business, including invoicing, tax, electrical safety and data protection laws.

Account security

Keep your login details safe. You're responsible for anything that happens under your account. If you suspect unauthorised access, contact us immediately so we can help secure it.

Subscription & billing

TradersFlow is offered on a recurring subscription. The current plan and price are shown on our pricing page. Subscriptions renew automatically at the end of each billing period until cancelled.

Payments are processed securely by Stripe. By subscribing, you authorise us (via Stripe) to charge your payment method for the applicable fees. You agree to keep a valid payment method on file for as long as your subscription is active.

Subscription plans

TradersFlow is offered under the following plans. Current prices are also shown on our pricing page and may change in line with Renewals & price changes.

  • Founding Member — £4.99/month for life (first 100 members only, while available).
  • Founding Member — £9.99/month for life (next 400 members only, after the £4.99 tier is exhausted).
  • Pro — £19.99/month.
  • Business — £29.99/month or £251/year (annual saves approximately 30%).

Only one active TradersFlow subscription is permitted per account. Subscription features may change as the platform evolves; where a change materially reduces functionality of a paid plan, we will give reasonable notice.

Founding Member terms

Founding Member pricing is a promotional subscription tier only. It grants discounted access to the TradersFlow platform at the rate shown when you subscribed.

Founding Member status does not provide ownership, equity, shares, voting rights, profit sharing, intellectual property rights, board representation, partnership rights, or any other legal interest in TradersFlow or its operating entity.

  • Founding pricing remains active while the subscription remains active and in good standing.
  • If a Founding Member cancels their subscription, TradersFlow is not required to restore the founding rate upon re-subscription, and the founding tier may by then be closed.
  • Founding Member access includes the features then available on the Pro and Business plans, and any future feature releases included at our discretion as part of the founding offer.

Subscription changes (upgrades & downgrades)

  • Upgrades (for example Pro → Business) take effect immediately and may be prorated, so you only pay the difference for the remainder of the current billing period.
  • Downgrades (for example Business → Pro) take effect at the next billing cycle. You keep access to the higher-tier features until the end of the period you have already paid for.
  • Only one active TradersFlow subscription is permitted per account. The system will not allow duplicate subscriptions to coexist.
  • Subscription features included in each plan may change as the platform evolves.

Business plan features

The Business plan includes everything in Pro plus tools aimed at running and reporting on a trade business, currently:

  • Finance & VAT Centre
  • Performance Analytics
  • Reports & Earnings
  • Future Business features added during your subscription

Business tools are provided for informational purposes only. Calculations, summaries, VAT figures, expense categorisations, performance metrics and reports do not constitute accounting, tax, legal or financial advice. You remain responsible for verifying figures and obtaining professional advice where needed.

Free trial

New accounts get a 7-day free trial of the Pro plan. No payment card is required to start. The trial begins when your account is created and ends 7 days later. We'll send reminder emails 7, 3 and 1 day(s) before the trial ends.

If you don't subscribe before the trial ends, your account stays active but in a read-only state until you choose a plan. You can subscribe at any time before, during or after the trial. Trials are intended for first-time evaluation and may not be repeated on the same business or payment account.

Payment terms

Fees are billed in advance for each billing period and are non-refundable except where required by law or expressly stated by us. If a payment fails, we'll retry and notify you by email; if it continues to fail, the subscription may be cancelled by Stripe and your account moved to a read-only state.

Prices may be shown exclusive or inclusive of applicable taxes depending on jurisdiction. Where required by law, VAT, GST or equivalent taxes will be added and clearly displayed before payment is completed. You are responsible for any taxes that apply to your business in your jurisdiction.

Renewals & price changes

Subscriptions renew automatically at the end of each billing period using your stored payment method. We'll send a renewal reminder in advance where Stripe surfaces one to us. Prices may change with at least 30 days' notice; changes apply to the next billing period after the notice expires. Founding-member pricing, where offered, is locked at the rate shown when you subscribed and is honoured as long as the subscription remains active and in good standing.

Cancellation

You can cancel your subscription at any time from Settings → Billing. When you cancel:

  • Future billing stops automatically.
  • You keep access until the end of the current billing period.
  • After that period, your account moves to a read-only state.
  • If you delete your account, your subscription is cancelled immediately and you lose access right away.

We may also cancel a subscription on our side in the limited circumstances described in Suspension and Termination.

Business users only

TradersFlow is marketed and sold to businesses and self-employed tradespeople for use in the course of their trade, business, craft or profession. It is not directed at consumers.

Because the Service is supplied for business use, the statutory cancellation and "cooling-off" rights that apply to consumer contracts under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 do not apply to your subscription. You can still cancel at any time as described in Cancellation — future billing stops and you keep access until the end of the current billing period.

If, despite this, you are using TradersFlow as a consumer rather than for business purposes, please contact us at support@tradersflow.co.uk before subscribing so we can confirm what statutory rights apply to you. Nothing in these Terms removes any statutory rights that cannot legally be excluded.

Invoicing & payments to you

TradersFlow lets you create invoices for your own customers and (optionally) share Stripe-hosted payment links. When your customer pays through one of those links, Stripe processes the payment and settles it directly to your connected Stripe account — TradersFlow does not hold customer funds.

You are solely responsible for the accuracy and legality of the invoices you raise, including VAT, tax registration numbers, line items, and any required statutory information. We don't issue invoices to your customers on your behalf — we provide the tooling so you can.

10a

Stripe Connect Express

TradersFlow uses Stripe Connect Express to facilitate card payments to you. To accept card payments through the Service you must connect and maintain a valid Stripe account in good standing.

As part of onboarding, Stripe may require identity verification, business information, and bank account details before enabling payments or payouts. Stripe may also request additional information at any time to satisfy ongoing compliance, sanctions screening or risk review obligations.

If your Stripe account is not connected, is incomplete, is restricted, is paused, or is closed by Stripe, the card payment features of the Service will be unavailable until the issue is resolved with Stripe.

10b

Payment processing

Customer card payments are processed directly by Stripe. Funds are paid directly into the connected user's Stripe account and then to the bank account they have configured with Stripe.

TradersFlow does not take possession of customer funds and does not act as a bank, payment institution, e-money issuer, or money transmitter. We provide the software that initiates the payment with Stripe; the regulated payment activity is performed by Stripe.

10c

Stripe fees

Stripe processing fees are charged by Stripe and are typically deducted from each payment before it is paid out to your bank account. TradersFlow is not responsible for Stripe's pricing, fees, currency conversion charges, reserves, holds, or processing policies.

You are responsible for reviewing Stripe's current fee schedule, which is available at stripe.com/gb/pricing, and for understanding the fees that apply to your account, country and payment methods.

10d

Payouts

Payout timing is controlled by Stripe and depends on your country, payout schedule, account history and risk profile. TradersFlow cannot guarantee payout dates and does not initiate or control bank transfers.

Delays or holds caused by Stripe compliance reviews, verification requirements, reserve holds, sanctions or fraud checks, banking issues, or bank or public holidays are outside TradersFlow's control. Payout queries should be raised with Stripe directly through your Stripe Express dashboard.

10e

Chargebacks, refunds & disputes

If you accept card payments through Stripe Connect, you are solely responsible for customer disputes, refunds and chargebacks relating to the services or goods you supply. TradersFlow is not a party to the contract between you and your customer.

Stripe may deduct disputed amounts, chargeback fees, refunds and reversals from your connected account balance in accordance with Stripe's policies. Where the balance is insufficient, Stripe may debit your bank account or apply negative balance recovery as set out in your Stripe agreements.

We may share relevant transaction and account information with Stripe, payment networks and law enforcement where required by law or to investigate suspected fraud or abuse.

Connected Account Agreement

By connecting a Stripe account through TradersFlow, you agree to be bound by Stripe's terms, including (as applicable):

You must comply with these Stripe agreements at all times. A breach of Stripe's terms may result in Stripe restricting, pausing or closing your connected account, which will in turn disable the card payment features of TradersFlow.

Platform disclaimer

TradersFlow provides software tools that enable you to connect with Stripe and to send Stripe-hosted payment links to your customers. TradersFlow does not guarantee payment acceptance, Stripe account approval, payout eligibility, payout timing, or the ongoing status of your Stripe account.

All regulated payment services (authorisation, settlement, payouts, dispute handling, KYC/AML, sanctions screening) are provided by Stripe under your direct agreements with Stripe.

Suspension & reinstatement

We may suspend an account where we reasonably believe it has been used in breach of these Terms, presents a security or fraud risk, or has unresolved billing issues. Where practical, we'll tell you why and what's needed to reinstate the account.

If a suspension is resolved (for example, payment is brought up to date or a security issue is cleared), the account can be reinstated. Suspension and reinstatement actions are recorded in an internal audit log.

Account deletion

You can permanently delete your account from Settings → Account & Data. Deletion requires explicit confirmation and password re-entry. When you delete your account:

  • Your subscription is cancelled immediately and no further charges are made.
  • Your login, profile and business data are permanently removed within 30 days.
  • A limited set of records (invoice metadata, billing receipts, audit logs) is retained as described in our Privacy Policy.
  • Deletion is irreversible — data cannot be recovered, even by us.

Abuse, fraud & chargebacks

To protect honest users, we actively monitor for fraud, abuse and misuse of the Service. We may decline, pause or reverse transactions, suspend accounts, withhold features (such as payment links), or terminate access where we reasonably suspect: payment fraud, chargeback abuse, stolen card use, impersonation, scraping, spam, or any attempt to bypass technical or commercial limits.

Chargebacks, payment disputes, fraudulent activity or abuse of the payment system may result in temporary suspension or permanent termination of access while an investigation is conducted.

If your customer files a chargeback against a payment processed through Stripe, Stripe's standard chargeback process applies. You are responsible for the underlying transaction with your customer. We may share relevant transaction and account information with Stripe and law enforcement where required.

Not financial, tax or legal advice

TradersFlow is software for running a trade business — it is not a financial, tax, accounting or legal advisor. Information shown in the app (totals, VAT calculations, summaries, reports) is provided to help you keep records, not as advice. You're responsible for verifying your numbers and for getting professional advice when you need it.

Acceptable use

You agree not to: use the Service to break the law, harass anyone, send spam, attempt to reverse engineer or attack our systems, scrape data at scale, or upload malicious content or anyone else's private data without permission.

Your data is your data

You own all the business data you put into TradersFlow — your customers, jobs, quotes, invoices, photos and documents. We don't sell it and we don't use it to train AI models.

You can export or permanently delete your data at any time from Settings → Account & Data.

Our intellectual property

The TradersFlow software, brand, design and documentation belong to us. We grant you a limited, non-transferable, non-exclusive licence to use the Service while your subscription is active and in good standing.

Service availability

We work hard to keep TradersFlow available 24/7 and aim for 99.9% uptime. We may carry out planned maintenance and will give reasonable notice where possible.

We do not guarantee uninterrupted or error-free availability of the Service. Availability may be affected by maintenance, third-party providers, infrastructure outages, security incidents or events beyond our reasonable control.

Limitation of liability

To the maximum extent permitted by law, TradersFlow is provided "as is" and "as available". We're not liable for indirect, incidental or consequential losses, loss of profits, loss of goodwill, or loss of data. We're not liable for losses caused by your customers, by third-party providers (including Stripe or email providers), or by your own use of the Service in a way that breaches these Terms. Our total liability in any 12-month period is capped at the fees you paid us in that period.

You remain solely responsible for your tax filings, VAT submissions, accounting records, business compliance, invoices and financial reporting, including verifying any figures produced by TradersFlow's Business tools before relying on them.

Nothing in these Terms excludes liability that can't legally be excluded — for example, for death or personal injury caused by negligence, or for fraud.

Termination

You can stop using TradersFlow at any time. We may suspend or terminate accounts that breach these Terms, with notice where reasonable. On termination, your right to use the Service ends, but the sections that should naturally survive (such as data ownership, payment obligations, governing law and liability) continue to apply.

Governing law & jurisdiction

These Terms, and any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with them, their subject matter or formation, are governed by and construed in accordance with the laws of England and Wales.

You and TradersFlow each irrevocably agree that the courts of England and Wales shall have exclusive jurisdiction to settle any such dispute or claim. Nothing in this section prevents either party from seeking urgent injunctive or equitable relief in any court of competent jurisdiction.

Changes to these terms

We may update these Terms from time to time. If the change is material, we'll let you know by email or in-app at least 30 days before it takes effect. Continuing to use the Service after that means you accept the updated Terms.

Written notice by email to the addresses above is accepted as valid service for the purposes of these Terms until a registered business address is published.
